Privacy Policy

BayRingAI ("we", "us", "our") is an AI phone receptionist service operated by Brennan Arendt in Green Bay, Wisconsin. This policy explains how we collect, use, and protect information when people call businesses that use BayRingAI to answer their phones.

• The phone number you're calling from (provided automatically by your carrier's caller-ID).
• The audio of the call, in the form of an audio recording and a text transcript.
• Details you share with the AI agent during the call — typically your name, service address, the nature of your issue, and a callback number.
• A short LLM-generated summary of what the call was about, so the business owner can quickly review.

• To run the AI receptionist itself in real time during your call.
• To book appointments on the business's calendar when you ask for one.
• To send a single SMS confirmation to the phone number you provided, after an appointment is booked.
• To give the business owner a record of who called, what they wanted, and what was scheduled.
• To improve our service through aggregate, de-identified analysis of agent performance (call resolution rates, common failure modes).

• We do not sell your information to third parties.
• We do not use your information for marketing. The only outbound message you'll receive from the BayRingAI service is the appointment confirmation you requested.
• We do not share recordings with anyone outside the business you called.
• We do not use your data to train large language models on behalf of third parties.

Calls handled by the BayRingAI agent may be recorded. The agent discloses this at the start of every call before collecting any information from you. If you do not want to be recorded, hang up and contact the business directly via their other listed methods.

BayRingAI does not buy, sell, share, rent, or otherwise distribute end-user phone numbers or SMS opt-in information to any third parties, affiliates, marketing partners, data brokers, or other entities for any purpose. Phone numbers collected via the website opt-in form or via verbal consent during AI receptionist calls are used solely to deliver the specific transactional message the end user requested. The only third party involved is Twilio, which acts as the SMS delivery infrastructure provider and does not use the phone numbers for any independent purpose.

What we collect: Your mobile phone number, the date and time you opted in, and the literal consent text you agreed to. We also retain source-IP and User-Agent metadata at opt-in for audit purposes. We do not collect your wireless carrier's identity beyond what's necessary to deliver the message.

How you opt in: Either by submitting your phone number through the consent form on bayringai.com (with the "I agree to receive SMS messages" checkbox), OR by verbally confirming during a call when the AI agent asks "is the number you're calling from the best one to reach you on?" Your spoken "yes" in that moment is recorded consent and is preserved in the call recording.

How we use it: Solely to send the appointment-confirmation text after a booking is completed. We do not use your number for marketing, do not share it with third parties (except the carrier needed to deliver the SMS, e.g. Twilio), and do not enroll you in any other messaging program.

Message frequency: Approximately one (1) message per booked appointment. If you don't book, you don't receive any SMS from us.

Data rates: Message and data rates may apply. Check with your wireless carrier — we don't bill for SMS, but standard messaging charges from your carrier still apply.

Opt out and help: Reply STOP to any message to immediately and permanently unsubscribe. Reply HELP to receive support contact info. You can also opt out by emailing brennan@bayringai.com.

Recordings, transcripts, and appointment details are stored in encrypted databases hosted in the United States. Tokens used to access third-party services on the business's behalf (such as Google Calendar) are encrypted at rest with AES-256-GCM.

You can request a copy of, or deletion of, information we hold about you by emailing the contact below. Please include the phone number you called from and the approximate date and time of the call so we can locate the records.

BayRingAI is intended for use by adults conducting business. We do not knowingly collect information from children under 13.

We may update this policy from time to time. The current version will always be available at bayringai.com/privacy with a "Last updated" date.
